SharePoint Organization & Document Management Training

Legal services org

The problem

A legal services organization had implemented SharePoint but staff were confused about how to use it effectively. Multiple versions of the same template existed across different staff members' folders. New attorneys couldn't find relevant prior work. Each office organized their SharePoint differently, making cross-office collaboration difficult. Staff spent time searching for documents or recreating work that already existed.

What we did
  1. Audited current SharePoint usage to understand how staff actually organized and found documents
  2. Documented naming conventions, folder structures, and policies that would make documents discoverable
  3. Developed guidelines distinguishing between personal storage (individual OneDrive) and shared storage (team SharePoint)
  4. Conducted training sessions with legal and office staff to introduce new standards
What changed
  • Provided leadership with a clear roadmap, implementation plan, and governance framework for implementing change that staff will support
  • Ensured staff felt heard and their concerns acknowledged during this change management process
